Who is responsible

Matthew Hill trading as HILLBRAND is responsible for the personal information described here. For privacy questions or requests, email admin@hillbrand.co.uk.

When you use the website

The site is hosted through OpenAI Sites and delivered using Cloudflare infrastructure. These services process technical request information needed to return and protect the site, such as network address, requested page, browser information and request time.

This processing supports the legitimate interest in operating a secure, reliable website. Technical records are kept according to the host’s operational and security arrangements and only while needed for those purposes and applicable legal obligations.

When you email Matthew

The website opens your email application; it does not submit a form or claim that a message has been delivered. If you send an email, HILLBRAND receives the address, message, email headers and any attachments you choose to include. The domain’s active mail records route incoming email through Google’s mail infrastructure.

That information is used to reply, understand what you are asking for, take steps you request before a possible agreement, and manage any resulting work. The relevant bases are legitimate interests in responding to business enquiries and, where applicable, taking requested steps before entering a contract.

Existing customers and historical records

The hosting database contains records from earlier HILLBRAND enquiry and order workflows, including customer contact, enquiry, order, payment-reference and administrative information where it was previously supplied. The current public site does not take payments, accept product enquiries or expose those records.

Existing information is used only as needed to support the relevant customer relationship, maintain accurate records, resolve disputes and meet legal or accounting obligations. Contract, legal obligation and legitimate interests may apply according to the record and its purpose.

Retention and sharing

Information is kept only while needed to answer the enquiry, manage resulting work, support an existing customer, resolve disputes, maintain security and meet applicable accounting or legal obligations. It is then deleted or anonymised when it is no longer needed, subject to backups and records that must lawfully be kept.

Information is shared only with services needed to host the site, deliver email or support the work, and with professional advisers or authorities when necessary. This currently includes OpenAI Sites, Cloudflare and Google’s mail infrastructure. These providers may process information outside the UK under the safeguards in their applicable contractual arrangements.

Inactive features and browser storage

Text Ask Matt, live voice, microphone and video conversation are disabled. Their information page does not accept questions or start an AI conversation. No advertising tracker or analytics collector is enabled. The introduction does not store a visit marker, and the active learning and unavailable chat pages do not store a transcript.

Your rights

Depending on the circumstances, you may have rights to access, correct or erase personal information, restrict or object to its use, and receive a portable copy. Contact admin@hillbrand.co.uk to make a request or raise a privacy concern. You can also complain to the Information Commissioner’s Office.
